We are seeking a highly organized, proactive and digitally capable Coordinator to support the Dean of IE School of Science and Technology. The role combines executive communications and digital content creation with administrative coordination. The successful candidate will work with a high degree of discretion, sound judgment and responsiveness, engaging effectively with senior internal and external stakeholders in an international environment.

We are looking for a person to join a full-time position in Madrid - IE Tower, Segovia Campus, María de Molina, Pinar 18, Velázquez, etc.
 

Responsibilities

Your role as a Assitant, Dean's Office will involve:
  • Communications and Digital Content Approximately (75%)
  • Manage and support the Dean's communications across relevant channels, including social media and email, ensuring a consistent, professional and timely approach.
  • Draft, edit and coordinate high-quality written and digital content for the Dean, adapting tone and format to different audiences and communication channels.
  • Create digital content using appropriate platforms and tools and demonstrate the ability to learn new content-creation technologies quickly.
  • Use technology and AI-enabled tools confidently and responsibly to improve the quality, efficiency and reach of communications, while respecting confidentiality and institutional guidelines.
  • Coordinate with internal teams and external stakeholders to gather information, manage approvals and support the timely delivery of communication initiatives.
  • Accompany and support the Dean at selected institutional and external events, including travel when required.
  • Executive and Administrative Support (approximately 25%)
  • Coordinate business travel arrangements, including transport and accommodation, and prepare and reconcile related expense reports.
  • Organize and maintain the Dean's calendar, schedule appointments and coordinate meetings, anticipating conflicts and changing priorities.
  • Provide occasional support outside regular working hours when necessary to facilitate communication while the Dean is working across different time zones.
  • Welcome visitors and ensure professional and well-coordinated experience for guests of the Dean's Office.

Qualifications

To thrive in this role, you should possess the following qualifications:
  • Bachelor's degree or equivalent higher education qualification.
  • Full professional proficiency in English and Spanish, both written and spoken.
  • At least three to five years of relevant experience in executive support, communications, content creation or a comparable role.
  • Excellent writing, editing and interpersonal communication skills, with the ability to interact confidently and appropriately with senior executives and university stakeholders.
  • Demonstrated ability to create digital content and rapidly learn new platforms, tools and workflows.
  • Strong digital literacy, including confidence using productivity software and AI-enabled tools in a responsible manner.
  • Excellent organizational and time-management skills, with the ability to prioritize, manage multiple tasks and respond effectively to changing requirements.
  • Availability to attend events and travel when required, as well as flexibility to communicate across different time zones.
  • Sound judgment, discretion and a strong understanding of confidentiality requirements.
  • High level of accuracy, attention to detail and ability to work effectively under pressure.
