Are you interested in joining a dynamic and international team of professionals to transform education? IE University's Asset Management and Planning is looking for an Assistant, Academic Planning & Faculty Experience Support to join its team!
 

Provide operational and administrative support to the Academic Planning & Faculty Experience function, supporting the Associate Directors in the delivery of academic planning processes, faculty coordination and academic administration. The role contributes to the efficient execution of academic operations through accurate administration, timely coordination and high-quality service.

We are looking for a person to join a full-time position in Madrid - IE Tower.
 

Responsibilities

Your role as a Associate Director will involve:

1. Operational Support 

  • Provide day-to-day administrative and operational support to the Associate Directors. 
  • Assist in coordinating academic planning activities and monitoring operational tasks. 
  • Prepare and maintain documentation required to support academic operations. 

2. Faculty Requests and Communications 

  • Manage the faculty mailbox, ensuring requests are accurately categorisedassigned and followed through to completion. 
  • Coordinate responses with the relevant teams and monitor resolution times. 
  • Support faculty with routine operational enquiries. 

3. Academic Documentation 

  • Coordinate the collection, review and tracking of syllabi and other academic documentation. 
  • Monitor submission deadlines and follow up on outstanding items. 
  • Ensure documentation is complete and correctly recorded in institutional systems. 

4. Administrative Process Management 

  • Process faculty requests and operational incidents in accordance with established procedures. 
  • Maintain accurate records and monitor ongoing cases. 
  • Escalate issues where appropriate to ensure timely resolution. 

5. Academic Data Maintenance 

  • Update academic structures and planning information in institutional systems. 
  • Verify the accuracy and consistency of operational data. 
  • Support the preparation of reports and planning information. 

Qualifications

To thrive in this role, you should possess the following qualifications:

 

  • Bachelor's degree desirable.
  • Fluent in English and Spanish. 
  • Experience in administrative or operational support roles. 
  • Strong organisational skills and attention to detail. 
  • Ability to manage multiple priorities effectively. 
  • Excellent communication and customer service skills. 
  • Proficiency in Microsoft Office and institutional information systems.
