The Program Coordinator is responsible for the day-to-day delivery, coordination, and management of projects, activities, and events related to the program. This includes acting as the primary point of contact between students, faculty, and various IE departments; overseeing key program components; managing communication channels; implementing academic guidelines and policies; supporting logistics and operations; and providing ongoing assistance to faculty to ensure a world-class academic experience for our students. The Program Coordinator reports to the Associate Directors and Executive Director of the programs. The role involves regular interaction with students, faculty members, IEU departments, and external partners to ensure the smooth and efficient operation of the programs.

Responsibilities

Your role as a Program Coordinator will involve:

Interaction with Students:

  • Meet with students daily to resolve issues, offer advice, and provide support with empathy, sensitivity, and a professional, customer-oriented approach.
  • Co-manage the relationship with class representatives together with other team members.
  • Support students experiencing academic difficulties or other challenges within the program.
  • Manage written and verbal communications with students, including regular updates, information points, presentations, and info sessions.
  • Analyze student feedback to identify opportunities to enhance their overall experience.

Interaction with Professors and Other Departments

  • Liaise with professors, communicate student or group-related matters, request feedback, ensure timely submission of grades and syllabi, and provide ongoing support.
  • Collaborate with other IE Departments - such as the Admissions Department, Marketing Department, Planning, Documentation, Student Services, Student Life, Registrar’s Office, Maintenance Dept., International Mobility Office, etc. - to ensure a cohesive and successful student journey.


Internal Operations

  • Support Associate Directors in coordinating and implementing new curricular and extracurricular initiatives
  • Take ownership of specific program components, areas, initiatives, or special projects.
  • Update and maintain academic guides and other materials for students and faculty.

Qualifications

To thrive in this role, you should possess the following qualifications:

 

  • Legal work permit to work in Spain
  • Bachelor’s Degree
  • Native-level fluency in English and strong conversational Spanish skills
  • International profile with experience or high comfort working in multicultural environments
  • Strong project management and organizational skills
  • Excellent attention to detail and problem-solving abilities
  • Outstanding communication skills and a strong customer-oriented mindset
  • Proficient in Microsoft Office Suite
