Overview

Are you interested in joining a dynamic and international team of professionals to transform education? IE University's Arts & Humanities is looking for an Program Assistant to join its team!
 
The ideal candidate will assist in the day-to-day management of the Dean’s Office, academic programs and extracurricular activities of the IE School of Arts & Humanities. The assistant should be comfortable and equipped to work in a fast-paced environment that will require multi-tasking and attention to detail. The main tasks required include logistical support of the Dean’s schedule and appointments, support in academic activities of the School, assistance for extracurricular events and activities, and general administrative management.

We are looking for a person to join a full-time position in Madrid - IE Tower.
 

Responsibilities

Your role as a Program Assistant will involve:
  • Carry out secretarial tasks for the Dean’s Office (scheduling meetings, managing the calendar, booking spaces, etc.)
  • Assist with general program operations related to academic courses
  • Handle inquiries via telephone, face-to-face and email from students, professors and external stakeholders regarding issues related to academic programs and extracurricular activities
  • Assist with the promotion and management of extracurricular events and activities
  • Collaborate with internal departments to ensure smooth operations of events (space booking, maintenance, security, etc.)
  • Support with extracurricular activities of the School, including attendance to events or activities both inside and outside the campus and, when necessary, outside of working hours
  • Support with external communications on the School website and social media accounts
  • Carry out daily administrative tasks of the School, including:
    • Record keeping and compiling of information related to the School´s projects
    • Processing of expenses
    • Management of payments for faculty and external providers
    • Making travel arrangements for the Dean and leadership of the School, faculty members, and external guests when necessary
    • Calendar management
    • Receiving of external guests

Qualifications

To thrive in this role, you should possess the following qualifications:
  • Fluency in English and a proficient level of Spanish is preferred
  • Previous knowledge with arts and humanities topics is preferred
  • Ability to work collaboratively
  • Prior experience using digital tools such as Videoconferencing tools is preferred
  • Strong skills and comfortable using Microsoft Office 365 platforms
  • Customer oriented mindset and the ability to resolve issues that arise with students, professors, and external stakeholders
  • Strong organizational skills
  • Ability to work a flexible schedule when required
