The Program Coordinator plays a critical role in ensuring the smooth delivery of academic programs at IE University. This position combines operational execution, student support, and cross-functional coordination to ensure a seamless, high-quality student experience.

 

As a frontline member of the Program Management team, the Program Coordinator acts as a key point of contact for students, faculty, and internal stakeholders, supporting the day-to-day operations of assigned programs while ensuring alignment with institutional policies and standards.

Responsibilities

Your role as a Program Coordinator will involve:

 

Student Support & Experience:

  • Serve as a primary point of contact for students, addressing academic and administrative queries.
  • Guide students through program-related processes (enrollment, attendance, grades, academic policies, etc.).
  • Provide clear, accurate, and timely information to ensure students understand procedures and requirements.
  • Proactively identify and address student needs, escalating complex cases when required.

 

Program Delivery & Operations:

  • Support the day-to-day execution of assigned academic programs, ensuring activities run smoothly and according to plan.
  • Assist with the coordination of academic calendars, course schedules, and program milestones.
  • Contribute to the organization and delivery of key program activities, including onboarding, orientations, and events.
  • Ensure operational consistency and adherence to internal processes and timelines.

 

Stakeholder Coordination:

  • Liaise with faculty to facilitate communication related to course delivery, student matters, and academic requirements.
  • Collaborate with internal departments (Admissions, Registrar, Planning, Student Services, etc.).
  • Support the alignment of all stakeholders involved in the student journey.

 

Administrative & Process Management:

  • Manage program-related documentation, systems, and tools (e.g., attendance tracking, student records, communication platforms).
  • Support the preparation and dissemination of communications to students and faculty.
  • Ensure compliance with academic policies, procedures, and deadlines.
  • Maintain accurate records and support reporting activities as needed.

 

Team Support & Continuous Improvement:

  • Work closely with Junior Managers, Associate Directors, and other team members to ensure effective program delivery.
  • Identify operational challenges and propose improvements to enhance efficiency and student experience.
  • Contribute to special projects and initiatives related to program development and innovation.

Qualifications

To thrive in this role, you should possess the following qualifications:

 

  • Bachelor’s Degree is required.
  • Professional experience in higher education, customer service, or administrative roles is highly valued
  • Bilingual, or advanced proficiency, in both English and Spanish (written and oral).
  • A minimum of 3 years of professional experience is required.
  • Having experience working in an international environment is a plus.
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent communication and interpersonal skills
  • Ability to work effectively under pressure and manage multiple priorities simultaneously.
  • Proactive mindset, with a strong sense of ownership and accountability.
  • High level of customer orientation and commitment to student experience
  • Candidates must possess a valid EU work permit
