The Assistant – Talent & Careers will play a key role in supporting the day-to-day operations of the department, acting as a primary point of contact for students — particularly International MBA students — while ensuring the smooth execution of administrative and operational processes across the team.

We are looking for a person to join a full-time position in Madrid - Velázquez, 130.

Responsibilities

Your role as an Assistant, Talent & Careers will involve:
  • Cordinate daily activities within the Operations team and across Talent & Careers, providing ongoing support to team members and contributing to the overall operational efficiency of the department. A significant part of the role will involve direct interaction with students and alumni, offering guidance on Talent & Careers services and serving as a first point of contact for informal advising and orientation.
  • Support the planning and execution of events, workshops, and educational sessions, ensuring effective coordination with academic departments and other internal stakeholders. In addition, the role will oversee communications across key platforms such as Career Portal, Campus Online, and IE Connects, helping maximize visibility and engagement with Talent & Careers initiatives.
  • From an administrative perspective, the Assistant will manage departmental communications, including shared mailboxes, coordinate meetings and travel arrangements, support expense management processes, and assist with general administrative tasks. The role will also contribute to content creation and dissemination, including newsletters, surveys, and job postings on the Career Portal.
  • This position requires excellent organizational and multitasking skills, as the successful candidate will manage multiple projects simultaneously, support different team members, and ensure timely follow-up on ongoing initiatives. Additional responsibilities may include invoice processing, budget tracking support, and other operational tasks that contribute to the effective functioning of the department.
  • Overall, this role is essential in delivering a high-quality experience to students, alumni, and employers, while enabling the Talent & Careers team to operate efficiently and continue scaling its services.

Qualifications

To thrive in this role, you should possess the following qualifications:
  • Bachelor’s Degree.
  • Professional fluency in English is required; Spanish fluency is considered a plus.
  • Minimum of 2 years of relevant professional experience.
  • Strong organizational skills and high attention to detail.
  • Excellent communication and interpersonal skills.
  • Advanced Microsoft Office skills, particularly Excel and PowerPoint.
  • Strong customer and service orientation.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proactive, collaborative, and solution-oriented mindset.
