We are looking for a person to join a full-time position in Madrid, IE Tower.
 

Responsibilities

Your role as Executive Assistant will involve:
  • Coordinate and manage calendars for multiple executives, including scheduling meetings, appointments, and events; proactively resolving conflicts and ensuring optimal time management. 
  • Prepare meeting agendas, materials, presentations and coordinate logistics (room reservations, catering, technology setup). 
  • Serve as primary point of contact between executives and stakeholders, screen and prioritize communications. 
  • Arrange domestic and international travel itineraries (flights, accommodations, transportation, visas). 
  • Manage invoices and budget tracking.  

Qualifications

To thrive in this role, you should possess the following qualifications:
  • Bachelor’s degree desirable. 
  • 1-2 years of related experience as Executive Assistant or similar role supporting senior-level executives. 
  • Fluent in Spanish and English (written and spoken). Native English speakers with working papers are welcomed. 
  • Advanced proficiency in Microsoft Office Suite. 
  • Strong organizational skills and ability to manage multiple processes simultaneously.  
  • Exceptional organizational and multitasking abilities with strong attention to detail. 
  • Excellent communication skills and high level of discretion. 
  • Proactive mindset and ability to work in a dynamic, fast-paced environment.
