Are you interested in joining a dynamic and international team of professionals to transform education? IE University's Administration and Accounting department is looking for an Travel Operations & Reporting Associate Manager to join its team!
 

IE is seeking a detail-oriented and analytical Travel Operations & Reporting Associate Manager to support the consolidation and optimization of the institutional travel program.

This role will focus on daily operational support, booking tool governance, compliance monitoring, reporting, and data preparation to support strategic supplier negotiations and financial decision-making.

 

The position plays a critical role in strengthening cost control, service quality, sustainability tracking, and overall travel program efficiency.

We are looking for a person to join a full-time position in Madrid - IE Tower
 

Responsibilities

Your role as a Travel Operations & Reporting Associate Managerwill involve:

Travel Operations Support

  • Provide daily operational support to IE travelers and internal stakeholders.
  • Act as second-level contact for travel-related issues, coordinating with the TRAVEL AGENCY/online agency.
  • Effectively intake, triage, and escalate booking or operational incidents.
  • Support documentation queries (visas, insurance, entry requirements).

Travel Tool Governance

  • Ensure proper configuration and optimization of the online booking tool.
  • Monitor booking flows and user behavior to ensure policy compliance.
  • Coordinate with the Trvel agency to implement system updates and improvements.
  • Support onboarding and user training for new employees.

Reporting & Financial Control

  • Deliver monthly and ad hoc travel reporting to Finance.
  • Monitor travel spend trends by department, region, and supplier.
  • Track KPIs including:
    • Policy compliance rate
    • Advance booking rate
    • Average ticket price
    • Preferred supplier usage
  • Identify cost-saving opportunities through data analysis.

Compliance & Governance

  • Monitor adherence to the corporate travel policy.
  • Support audits and internal control processes.
  • Maintain accurate and updated documentation related to travel procedures.

Sustainability & Program Optimization

  • Support tracking of travel-related CO₂ emissions.
  • Collaborate in sustainability reporting and awareness initiatives.
  • Assist in implementing sustainable travel practices aligned with IE’s strategy.

Strategic Support

  • Prepare structured data and analysis to support supplier negotiations (airlines, hotels, Travel agency etc).
  • Assist in travel program consolidation across IE offices.
  • Contribute to continuous process improvement initiatives.

Qualifications

To thrive in this role, you should possess the following qualifications:
  • Bachelor’s degree in Tourism or Business Administration or related field.
  • 3–5 years of experience in corporate travel, travel operations, Travel agency, airline.
  • Strong analytical skills (Strong Excel skills).
  • Experience with online booking tools (e.g., Cytric, Concur or similar).
  • Ability to work under pressure and manage multiple priorities.
  • High attention to detail and problem-solving mindset.
  •  Professional working proficiency in English.
  • High level of flexibility and adaptability in a fast-paced environment.
  • Strong team player with collaborative mindset across departments.
  • Strong service orientation with commitment to excellence in internal customer experience.
  • Proactive attitude, with the ability to anticipate needs and prevent issues before they escalate.
  • Strong sense of ownership and accountability.
  • Organized and detail-oriented with analytical mindset.
  • Ability to manage pressure and prioritize effectively.
