Position Overview 

IE Foundation is seeking a highly motivated and detail-oriented Executive Assistant to join its dynamic team. This role is pivotal in ensuring the smooth and efficient functioning of the Foundation’s daily operations. 

The Executive Assistant will provide comprehensive executive, administrative, and development support to the team, acting as a key liaison for internal and external stakeholders. The role requires a high level of organization, responsiveness, and the ability to manage multiple priorities in a fast-paced, mission-driven environment. 

The IE Foundation Executive Assistant serves as a primary point of contact for internal and external constituencies on all matters related to the Foundation and plays a central role in supporting its strategic and operational objectives.

We are looking for a person to join a full-time position in Madrid - IE Tower.
 

Responsibilities

Your role as an Executive Assistant will involve:

 

  • Responsible for managing and answering the IE Foundation email. 
  • Organize meetings and events. 
  • Coordinate major events for IE Foundation with relevant stakeholders (catering, technical support, etc.). 
  • Prepare presentations and materials needed for conferences and events. 
  • Coordinate invoices and follow up on payments with the administration department. 
  • Provide administrative support to manage and improve cost control of the different Centers, Chairs, Observatories, and Scholarships. 
  • Organize trips for the Management team. 
  • Assist in the translation of documentation. 
  • Maintain and organize files. 
  • Assist in mailbox management. 
  • Prepare and manage national and international grants. 
  • Manage and maintain the database of IE Foundation contacts and stakeholders. 
  • Support the IE Foundation team with email communication management. 
  • Organize the IE Foundation Board of Trustees meetings (twice a year). 
  • Assist the Center for Transport Economics and Infrastructure Management (CTEIM). 

 

Qualifications

To thrive in this role, you should possess the following qualifications:

 

  • Bachelor’s Degree. 
  • Fluency in both English and Spanish, with strong verbal and written communication skills. 
  • Previous experience in Executive or Personal Assistant roles would be highly valuable. 
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint). 
  • Previous experience using TravexCytric AMEX travel, CRM, Raiser’s EdgeCopilot, and other AI tools will be considered an asset. 
  • Proven track record of customer interface, excellent organizational skills, and a proactive attitude. 
  • Strong team player with a collaborative mindset.
