Overview

Are you interested in joining a dynamic and international team of professionals to transform education? IE University's Summer School is looking for a Junior Manager to join its team full-time in an immersive role and based in Madrid!
 
IE Summer School was created as a new transversal business unit within IE University earlier this year. We are now keen to assemble a strong core team who share our aspirations for exponential growth, both for the School, but also on a personal level. Kindly note, our team’s peak season is the delivery period between May through the end of July. 
 

Position Overview

 

The Junior Manager reports to and supports the Associate Director in the seamless execution of our largest existing pilar, Pre-University Summer Program. This role involves assisting with planning, logistics, communication, and on-ground execution while ensuring high-quality delivery and exceptional participant experiences. The Junior Manager collaborates closely with the program team to manage day-to-day operations, coordinate logistics, and address participant and staff needs. This role is ideal for someone with strong organizational skills, attention to detail, and a proactive approach to problem-solving.

We are looking for a person to join a full-time position in Madrid - IE Tower.
 

Responsibilities

Your role as a Junior Manager - IE Summer School will involve:

 

Pre-Delivery Planning

  1. Program Development Support
    • Assist in refining program content, schedules, and materials in collaboration with the Associate Director.
    • Coordinate with curriculum designers and faculty to ensure materials are finalized and delivered on time.
  2. Staff Recruitment & Training Assistance
    • Support recruitment efforts for instructors, edition managers, and support global recruitment initiatives (open houses, webinars, regional calls).
    • Organize training sessions and provide logistical support during staff onboarding.
  3. Budgeting & Procurement
    • Assist in tracking program budgets and uploading expenses.
    • Procure materials, supplies, and equipment under the guidance of the Associate Director.
  4. Extracurricular Activities Preparation
    • Coordinate site visits and assist in venue preparation for program activities.
    • Ensure compliance with health, safety, and accessibility standards.
  5. Compliance & Documentation
    • Manage participant and staff documentation, including consent forms and compliance certifications.

Logistics Management

  1. Scheduling & Itinerary Coordination
    • Work with the Associate Director to develop detailed daily schedules and contingency plans.
    • Manage agenda/extracurricular activities/professors/dietary excels
    • Ensure all stakeholders (staff and summer coaches) have up-to-date itineraries and activity plans.
  2. Participant Onboarding
    • Manage participant registration processes, ensuring all documentation is complete.
    • Respond to enrolled participants and parent inquiries/emails regarding special requests or accommodations.
  3. Supplies & Inventory Management
    • Oversee inventory management, including the organization and distribution of supplies and materials.
    • Ensure Welcome Packs and resources are ready and available before the start of each program edition.
  4. Staff Support
    • Assist in scheduling staff assignments/activities and tracking roles during program delivery.

Communication & Stakeholder Support

  1. Internal Communication
    • Act as a liaison between the Associate Director and program staff to ensure clear communication.
    • Provide updates to staff and escalate issues when necessary.
    • Support in the creation of content, communication startegies and marketing materials
  2. Parent & Participant Interaction
    • Maintain ongoing communication with participants and parents to address questions and concerns.
    • Assist with setting up internal communication channels for enrolled participants and summer coaches to communicate pre-arrival and during delivery period.
    • Set-up communication channels for staff, students and summer coaches to communicate during delivery period.
    • Assist in organizing pre-program webinars, Q&A sessions and presentations (Welcome & Graduation ceremonies).
  3. Vendor & Partner Coordination
    • Build and maintain relationships with vendors and venue staff to ensure smooth operations.

Program Delivery & Execution (May-End of July)

  1. On-Site Support
    • Assist the Associate Director in overseeing daily operations during program delivery.
    • Monitor program activities to ensure they run on time and to standard.
  2. Issue Resolution
    • Address participant or staff concerns promptly and escalate issues to the Associate Director as needed.
    • Support crisis management efforts, ensuring participant safety and program continuity.
  3. Program Engagement
    • Interact with participants to foster engagement and gather real-time feedback.
    • Coordinate with staff to adapt schedules or activities as needed.
  4. Daily Reporting
    • Provide updates to the Associate Director on program status, successes, and challenges.

Post-Program Wrap-Up

  1. Feedback Collection
    • Assist in collecting feedback from participants, parents, and staff through surveys or debriefs.
    • Compile feedback for analysis by the Associate Director.
  2. Documentation & Reporting
    • Support the creation of post-program reports, including participant feedback and operational insights.
  3. Inventory & Financial Reconciliation
    • Organize and reconcile program inventories.
    • Assist in processing final payments and budget reviews.
  4. Recognition & Retention Efforts
    • Help organize staff recognition events and awards.
    • Participate in alumni engagement activities to encourage future enrollment.

Qualifications

To thrive in this role, you should possess the following qualifications:

 

  • Education: Bachelor’s degree in Education, Communications, Event Management, Hospitality, or a related field.
  • Experience:
    • 2+ years of experience in program coordination, summer programs, events, or education-related roles.
    • Prior experience in a fast-paced, customer-facing environment is preferred.
    • Strong project management skills 
    • Proven team player that enjoys working with others in a collaborative environment and demonstrates a pro-active & positive attitude along with high energy. 
    • Excellent communication and interpersonal skills, including the ability to actively listen and demonstrate empathy. 
    • Customer orientation in order to act as liaison to students, professors, internal and external stakeholders on questions and comments related to the academic program. 
    • Problem solving skills to quickly address concerns, queries and feedback in a constructive and action-oriented manner. 
    • Attention to detail 
    • Strong multi-tasking capabilities as well as a high level of accountability. 
    • Comfortable working in an outdoor environment during program hours
    • Ability to work flexible hours, including evenings and weekends during delivery as needed
  • Fluency in both English and Spanish is a must. 
  • Candidates must possess a valid EU work permit.
