Overview

Are you interested in joining a dynamic and international team of professionals to transform education? IE University's Corporate & Special Programs is looking for a Program Coordinator & Travel Specialist to join its team!
 

This role combines hands-on management of faculty and staff travel with operational support to international program delivery. Is mainly focused on travel-related activities, while also contributing to program coordination tasks depending on operational needs.

We are looking for a person to join a full-time position in Madrid - IE Tower, 
 

Responsibilities

Your role as a Program Coordinator & Travel Specialist will involve:
  • ️ Travel Management (main focus)

    • Coordinate international travel for faculty and staff (flights, accommodation, visas, transfers, and incident management).
    • Act as the main point of contact for travelers, ensuring a smooth and high-quality experience.
    • Liaise with travel agencies and suppliers, managing bookings and changes.
    • Monitor itineraries and proactively handle disruptions.
    • Manage travel documentation, invoicing, and process compliance.

    🎓 Program Coordination Support

    • Support international program coordination with faculty, participants, and internal teams.
    • Assist with session planning, materials coordination, and communication flows.
    • Contribute to process improvements and operational efficiency initiatives.

Qualifications

To thrive in this role, you should possess the following qualifications:
  • Bachelor’s degree required.
  • Fluent in English and Spanish; additional languages are a plus.
  • Experience in travel coordination, logistics, hospitality, or similar roles.
  • Strong organizational and communication skills; customer-oriented and proactive.
