We are looking for a person to join a full-time position in Madrid - IE Tower, Segovia Campus, María de Molina, Pinar 18, Velázquez, etc.
 

Responsibilities

Your role as a Program Assistant will involve:
 

You will work closely with program management, faculty, students, and other internal departments to ensure the smooth operation of master’s programs, contributing to an outstanding academic and community experience.

 

Key Responsibilities:

 

Academic and Program Coordination

  • Support the planning and execution of the academic calendar, sessions, and key program milestones
  • Coordinate class schedules, room bookings, and faculty needs
  • Serve as a primary point of contact for students regarding program-related matters
  • Liaise with faculty to manage course materials, evaluations, and academic requirements

Administrative and Operational Support

  • Handle daily administrative tasks such as documentation, database management, and maintenance of student records
  • Support logistics for academic events, meetings, and international modules
  • Coordinate travel and accommodation for faculty and guest lecturers
  • Maintain communication with internal departments and service providers

Communication and Reporting

  • Facilitate communication with students and departments such as Admissions, Career Services, and Student Services
  • Assist in preparing documentation for academic boards, evaluations, and quality assurance

Student Experience and Events

  • Collaborate on initiatives to enhance the student journey and community engagement
  • Support the planning and execution of events including welcome sessions, graduation ceremonies, lectures, and workshops

Qualifications

To thrive in this role, you should possess the following qualifications:
  • Bachelor’s degree highly recommended
  • Bilingual in English and Spanish
  • 1-3 years of professional experience in academic coordination, program support, or related administrative roles
  • Strong organizational, time management, and multitasking skills
  • Attention to detail and a proactive, problem-solving mindset
  • Excellent interpersonal and communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with digital learning platforms is a plus
  • Team-oriented, service-minded.
