The main function of the Coordinator, Asset Management & Planning is to maximize limited resources to achieve an optimal planning, integrating different interests from: Academic, Area and Program Directors, Publishing, Campus, students and professors.

We are looking for a person to join a full-time position in Madrid - IE Tower and María de Molina

Responsibilities

Your role as a Coordinator will involve:
  • Strategic Oversight of Academic Documentation: Lead the registration and validation of documentation for all academic programs (undergraduate and postgraduate) to prepare documentation for the purchase process, maintaining efficient document control systems, ensuring proper classification, storage, traceability, confidentiality, and availability of information, ensuring operational excellence, alignment with institutional standards, and continuous improvement of the materials delivered to students.
  • Cross-Functional Management and Collaborative Leadership: Proactively coordinate with key stakeholders (academic leadership, faculty, planning teams, course coordinators, and program management) to ensure curricular coherence, pedagogical quality, and adherence to established timelines.
  • Institutional Training Design and Delivery: Develop and deliver training sessions for faculty and administrative staff on the use of academic tools (such as the e-syllabus, manage teaching materials, IE Knowledge Catalog), promoting best practices and enhancing the teaching experience.
  • Intellectual Property Governance: Establish and oversee control mechanisms to ensure compliance with copyright agreements across all academic documentation, in collaboration with legal and editorial departments. Coordinate the updating and disposal of obsolete documents.
  • Leadership of Strategic Projects: Drive special initiatives aligned with departmental goals, including process digitalization, academic innovation, and enhancement of the student experience.

Qualifications

To thrive in this role, you should possess the following qualifications:
  • University Degree
  • English: advanced
  • 3 years’ experience in process/operations´ related positions.
  • Ability to develop, plan, and implement short- and long-range goals.
  • Strong organization skills.
  • Ability to manage resources effectively and establish priorities.
  • Excellent communications skills.
  • Team player person
  • Hands-on approach
  • Microsoft Office.
