The Program Assistant is responsible for the delivery and day-to-day management of the program. This includes acting as the primary point of contact between students, professors and various IE internal stakeholders and departments, as well as all related communications with them; implementing guidelines and policies; supporting program logistics and operations; supporting faculty members; and helping in all student-related services.

We are looking for a person to join a full-time position in Madrid - María de Molina, 12.

Responsibilities

Your role as Program Assistant will involve:

  • Act as point of contact (coordination and constant communication) with the different departments involved in programs’ operations (Faculty, Admissions, Registrar’s Office, Planning…).
  • Attend and support the students and professors on a daily basis.
  • Responsible for generating the data and building the annual indicators of the Official Doctoral Program that are submitted to the Spanish Ministry of Education
  • Coordination of the selection process for candidates applying to the program.
  • Administrative lead of the department, overseeing the annual budget (scholarships, program budgets, expense control).
  • Manage reimbursements for doctoral students, staff, and vendor payments.
  • Contribute to the preparation and edition of reports and presentations.
  • Assist the Program Management Team in the communication with internal and external stakeholders (students, professors, IE departments).
  • Manage the logistics of the program deliveries: caterings, organization of extracurricular and curricular events and travel arrangements.

Qualifications

To thrive in this role, you should possess the following qualifications:

 

  • Bachelor’s Degree.
  • Fluency in both English and Spanish, and good communication skills (verbal and written).
  • Excellent organization skills, a “can-do attitude” (proactivity will be highly valued) and desire to work in a multicultural environment, enjoy interacting with students, and provide outstanding customer service.
  • Proficiency in Microsoft Office (Word, Excel and Powerpoint). Tech-savvy will be a plus.
  • Curious, open to learning and with team-working skills.
  • Candidates must possess a valid EU work permit.
