The Internship agreements assistant will responsible for facilitating internship programs and fostering relationships between students and international companies. This role includes regular communication with stakeholders, detailed administrative management, and ensuring compliance with academic and legal standards.

We are looking for a person to join a full-time position in Madrid.

Responsibilities

Your role as Assistant will involve:

  • Serve as a primary point of contact for international and national companies, providing timely information about internship opportunities at IE University.
  • Coordinate daily administrative operations, ensuring effective workflow across relevant internal departments and stakeholders.
  • Prepare, review, and manage internship documentation in both English and Spanish, ensuring full compliance with relevant legislation, accuracy, and timely processing.
  • Update and maintain detailed internal databases tracking internship agreements and documentation.
  • Coordinate with academic departments and other internal units to ensure successful internship implementation and oversight.
  • Manage communications regarding internships across relevant digital platforms.
  • Coordinate scholarships, schedule meetings and calls, and actively follow up on project-related tasks within the team.
  • Monitor and respond promptly and effectively to inquiries received via departmental mailboxes from students, alumni, and companies, maintaining a high standard of service.
  • Provide comprehensive administrative support, efficiently managing multiple simultaneous projects and tasks.

Qualifications

To thrive in this role, you should have:

  • Bachelor's Degree.
  • Advanced fluency in English and Spanish.
  • Minimum of 2 years of relevant administrative experience.
  • Exceptional organizational skills, strong attention to detail, and the ability to manage high workloads efficiently.
  • Excellent communication and interpersonal skills, comfortable interacting with diverse international stakeholders.
  • Advanced proficiency in Microsoft Office (Excel, Word, Outlook, Teams, PowerPoint).
  • Strong multitasking and adaptability skills suited to a fast-paced international team environment.
