Overview

The Assistant to the Director will provide comprehensive administrative and strategic support to the Director. This role facilitates the smooth operation of the center by managing daily activities, coordinating communication, supporting research initiatives, and ensuring alignment with the center's goals and university policies. The Assistant will support the logistical arrangements of international gatherings organized by the Center and support the Director in strategic partnerships.

We are looking for a person to join a full-time position in Madrid. 

Responsibilities

Your role as  Assistant will involve:

  • Administrative Support:
    • Serve as the primary point of contact for the Director, managing her calendar, and travel arrangements.
    • Schedule and organize meetings.
    • Meeting and greeting visitors at all levels of seniority.
  • Research and Grant Support:
    • Assist in the preparation and submission of research proposals, grant applications, and funding reports.
    • Track project milestones, deliverables, and budgets in collaboration with research teams.
    • Liaise with funding agencies, university grant offices, and collaborators.
  • Outreach and Communication:
    • Draft and edit internal and external communications.
    • Coordinate the center's online presence, including website updates and social media content.
  • Budget and Financial Oversight:
    • Manage budgets in coordination with the Director and university financial offices.
    • Submitting and reconciling expense reports.
  • Event Coordination:
    • Plan and execute events such as conferences, lectures, and workshops.
    • Coordinate logistics, including invitations, venue booking, catering, and audiovisual requirements.
  • Coordination With Other Departments
    • Coordinating with the Executive Office of the Provost and the Office of the SPEGA Dean.
    • Coordinating with other departments – including Marketing and Comms - to ensure compliance with established policies and decisions.
  • Support for Strategic Planning
    • Support the Director for planning yearly activities and designing multi-year strategies.

Qualifications

To thrive in this role, you should have: 

  • Bachelor’s degree in Political Science, Economics or International Relations.
  • Interest in European Affairs / International Affairs.
  • Prior experience in administrative, academic, or research support roles.
  • Familiarity with grant writing, research compliance, or project management is a plus.
  • Proficient (written & oral) in both English and Spanish.
  • Great organizational, logistical and time management skills.
  • Excellent budget management skills.
  • Great initiative and problem-solving skills. Attention to detail is extremely important.
  • Ability to think independently and identify KPIs in projects to ensure their completion.
  • Solid communication and negotiation skills and ability to work under pressure. Excellent interpersonal skills.
  • Enthusiasm, team spirit and strong willingness to have an impact.
  • Proficiency in office software (e.g., Microsoft Office, project management tools) and familiarity with academic or research databases.
  • A valid EU work permit.
