We are seeking a highly organized and proactive Office Manager, who doesn’t mind wearing multiple hats, to join our team.

The ideal candidate will be responsible for overseeing the smooth operation of our LLC and US Fund including office environment, managing administrative tasks, and human resources functions.

This role requires a combination of strong organizational skills, attention to detail, problem solving skills, and the ability to effectively communicate with team members at all levels.

US work authorization required.

Responsibilities

Your role as a Manager will involve but is not limited to:

US Human Resources

  • Partner with HR Headquarters to develop and maintain office policies as necessary.
  • Support de Legal Rep on the day-to-day management and decision-making responsibilities related to the company.
  • Develop policies to maintain a safe, secure, and pleasant work environment.
  • Support onboarding and training to new staff members.
  • Oversee medical insurance enrollment and plans
  • Ensure security, integrity, and confidentiality of data.
  • Determine current trends and provide a review to management to act on
  • Maintain employee records, including attendance, vacation, and personal information.
  • Serve as a point of contact for employee inquiries and provide general HR support.

US Office Administration

  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, transactions are reviewed and approved, and that clerical functions are properly assigned and monitored
  • Establish a historical reference for the office by outlining procedures
  • Design and implement office policies and procedures through employee handbook
  • Ensure tax and legal compliance in states where we operate making necessary changes when applicable
  • Manage relationships with vendors, service providers, and landlords
  • Carry out special projects to improve operational and cost efficiency
  • Authority to enter into binding contractual agreements in the Regional Director’s absence.

Financial Management:

  • Assist in managing office budgets, including tracking expenses and preparing reports.
  • Process invoices, purchase orders, and expense reimbursements in a timely manner.
  • Coordinate with the finance department to ensure accurate record-keeping and compliance with policies.
  • Monthly expense reconciliation and reporting
  • Authority to execute financial transactions and payments in the absence of the Regional Director.

Qualifications

To thrive in this role, you should have:  

  • 5-10 years of relevant experience
  • Bachelor’s Degree
  • Strong organizational and planning skills and ability to pay close attention to detail
  • Impeccable interpersonal communication (verbal and written) skills
  • Ability to organize and manage competing priorities
  • Strategic thinker with ability to be able to improve processes and efficiencies
  • Knowledge of Spanish is a plus
  • Proficiency with MS Word, Excel and preferable CRM experience.
  • Knowledge of HR systems such as APD.
  • US work authorization
