The Program Coordinator is responsible for the delivery and day-to-day management of projects and activities relating to the school’s academic programs. This work comprises serving as the key interface between students, professors, and multiple IE departments; coordinating a variety of tasks and program components, managing communication flows; implementing guidelines and policies; supporting program logistics and operations and supporting faculty members to ensure a world-class experience for our students.

Reports to the Executive Director and works closely with Junior Managers and program assistants. The Program Coordinator will interact with all faculty, students, different departments of IE, and external organizations required for running the program.

We are looking for a responsible, committed person to join our team in a full-time position based in Segovia.

Responsibilities

The most relevant tasks managed by the Program Assistant include but are not limited to:

Interaction With Students

 

  • Meet with students to solve issues, offer advice, and/or give support with empathy, sensitivity, and a professional customer-oriented approach, daily.
  • Co-manage the relationship with class representatives together with other team members.
  • Exercise sound judgment to support students facing academic difficulties or overall challenges within the program.
  • Manage (written and oral) communications with students, including all written regular communications and information points; presentations and information sessions; etc.
  • Manage extracurricular activities for students, including logistics and administration.
  • Using student feedback, identify ways to improve their experience with us.

Interaction With Professors and Other Departments

  • Liaise with professors to communicate specific student or group situations, request feedback, ensure timely submission of grades, syllabi, etc. and provide ongoing support to faculty members and teaching staff.
  • Support visits by special guests to campus for lectures and other activities in coordination with Humanities faculty.
  • Support programming for degree programs that takes place in the Creativity Center and other locations around Segovia.
  • Collaborate with other IE Departments - such as the Admissions Department, Marketing Department, Planning, Documentation, Student Services, Campus Life, Registrar’s Office, Maintenance Dept., International Mobility Office, etc. - to ensure a successful student experience.

Internal Operations

  • Assist the Executive Director in the coordination and implementation of new curricular and extracurricular innovations.
  • Take responsibility for special program components, areas, initiatives, and projects.
  • Available for occasional evening and weekend events (Open House, e.g.), and for occasional meetings or events in Madrid.
  • Maintain and enhance academic guides and all other materials for students and faculty.

Qualifications

To thrive in this role, you should possess the following qualifications:

  • Bachelor’s Degree
  • Bilingual, or advanced proficiency, in both English and Spanish (written and oral), with substantial professional experience in both languages.
  • International profile with experience and comfort in working in multicultural environments
  • Proficient in MS Office
  • Strong project management skills
  • Attention to detail and problem-solving skills
  • Availability to host and/or attend occasional evening events.
  • Experience in multi-stakeholder environments, as well as excellent communication skills and a strong customer orientation, are essential.
  • Experience in higher education, or working with arts organizations, is a plus.
