Overview

The IE School of Architecture and Design is dedicated to education and  research within the realms of the built, natural, and digital  environments. Our programs are fully taught in English and combine a multidisciplinary approach with the application of theory to practical issues in design through project-based learning.  The Bachelor in Design and the Dual BBA-Bachelor in Design are growing programs that rigorously train students to become professional designers  working in many fields.

 

The Associate Director is responsible for the  quality assurance in the smooth delivery and day-to-day management of the Bachelor in Design and BBA-BID dual program of the School. This involves coordinating tasks among various team members and other IE Departments; overseeing the implementation of guidelines and policies; monitoring logistics and operations; supporting faculty members; and overall responsibility for student services.

 

The Associate Director will report to the Associate Dean of Design of the School, and will work within the parameters of the School Dean´s office. 

The post will be based in Segovia, with flexibility to travel to Madrid.

Responsibilities

Key Action Areas: 

 

The candidate must feel comfortable working in a busy environment that will require multi-tasking and the ability to manage a high volume of work. They should be detail-oriented, enjoy interacting with students, staff and faculty,  and be a team player. The most relevant tasks managed by the Associate Director include, but are not limited to, the following: 

 

Program development: 

Assist the Associate Dean, who directs the program, as needed 

  • Coordinate and supervise the key administrative processes to improve and implement them 
  • Provide data and information to improve the program   and to assist with the writing of required official yearly documents.
  •  
  • Interaction with students and professors: 
  • Meet with students in order to solve issues, offer advice, and/or give support with empathy and sensitivity.
  • Co-manage the relationship with class representatives. 
  • Identify ways to improve the student experience. 
  • Liaise with professors to communicate specific student’s or group’s situations, request feedback, ensure timely submission of grades, syllabi, etc. 
  • Maintain and enhance academic guides and other materials for students and faculty. 
  • Ensure faculty deliver syllabi on time and in the academic format and any implementation is done following academic standards (grading system, learning objectives…)

 

  

Interaction with other departments: 

  • Coordinate key administrative processes with relevant departments and team members on exchanges, internships, final projects (TFG), credit recognitions, etc. 
  • Collaborate with the departments of Admissions, Marketing, Planning, Documentation, Student Services, Campus Life, Registrar’s Office, Maintenance, etc. 
  • Oversee the appropriate execution of the operational budget of the program. 
  • Coordination with BBA academic team.

  

Internal Development: 

  • Assist the Associate Dean of Design (who is also the Bachelor in Design Academic Director) in the coordination and implementation of any new initiatives. 
  • Provide high-quality data and information to the Vice Dean and track on measurement of student performance and achievements. 
  • Work closely with program assistants to assure smooth team work, good communication, and effective team work.
  • Take responsibility for special projects, as instructed by the Associate Dean of Design

Qualifications

Requirements: 

  • Master’s Degree from a top University.
  • Bilingual, or advanced proficiency, in English and Spanish (written and oral)
  • with  substantial professional experience in both languages.. 
  • Minimum of 3 years of professional experience, including supervisory functions 
  • At least 2 years of experience in higher education management would be valued. 
  • Track record of customer interface, excellent organization skills, and “can-do attitude”.   
  • Strong management capabilities 
  • Solid ability to work under pressure and high level of accountability. 
  • Ability to create a sense of community amongst the project teams. 
  • Experience in multi-stakeholder environments, as well as excellent communication skills and a strong customer orientation, are essential.  
  • Proficiency in Microsoft Office (Word, Excel and PowerPoint). 
  • Curious, eager to learn, open-minded, and excellent teamwork skills. 
  • Strong desire to work in a multicultural environment. 
  • Candidates must possess a valid EU work permit.
