Overview

IE University (IEU) is a private university with campuses located in Segovia and Madrid (Spain). IEU programs are offered in English, and are compliant with the terms of the European Education Area (Bologna Accords). At IEU our working languages with colleagues are English and Spanish.

 

IE IMPACT is a transversal academic program, totaling 21 ECTS, required of all IEU undergraduate students. Consisting of courses in the Humanities, Technology and Entrepreneurship, IE IMPACT reinforces these three foundational pillars of IE University, and centers Diversity and Sustainability throughout the entire learning journey, which culminates with the IE Challenge. 

 

Students from all of IE University’s five schools and bachelor degrees come together in this dynamic program where they are introduced to some of the most complex issues and challenges facing societies and begin to develop a humanistic mindset towards how they think and how they make decisions; they develop a working knowledge of the disruptive technologies that are applied to address these challenges and contemplate their implications; and finally students develop an entrepreneurial mindset by learning to ideate, design and validate business models that can serve to help solutions be enduring and scalable in order to have the greatest impact over the long-term. Finally, student teams work as consultants for real-world startups whose enterprises are driven by sustainability and/or achieving one or more of the Sustainable Development Goals.

   

The IE Impact Program is growing and to support such growth we seek to hire three Program Coordinators.

Responsibilities

Key Action Areas:

Program Coordinators will report to the IE Impact Executive Director, and they are primarily responsible for the academic operations of the four courses in the IE Impact Learning Journey.

 

In addition to what is listed below, each of the three Program Coordinators on the IE Impact Team will be responsible for specific projects, related to each of the four courses, extracurricular activities, and internal communications.

 

We are looking for motivated and team-oriented individuals who are enthusiastic about higher education innovation and working with undergraduate students, as well as entrepreneurship, innovation and technology, the humanities, diversity and sustainability. We are also particularly interested in candidates who have experience in communications (engagement campaigns and awareness-raising campaigns).

 

The most relevant roles, responsibilities and tasks of the Program Coordinator include, but are not limited to:

  • Coordinates the academic operations of the four IE Impact courses (Humanities, Technology, Entrepreneurship and IE Challenge).
  • Manages and develops expertise in Atenea, IE’s internal student management software, including the inputting and management of complex enrollment processes.
  • Provides faculty with the necessary support and information about schedules, students list, deadlines and general procedures to run their
  • Provides the Academic Directors, Associate Director and Executive Director with the necessary support.
  • Coordinates faculty meetings in conjunction with the three IE Impact Academic Directors and the IE Impact Executive Director.
  • Provides support to faculty with IE Liquid Learning and BB Ultra as required
  • Proactively manages the relationship with students before and during the program, provides them with relevant information, solves problems, answers questions and refers them to the Directors (Academic, Associate or Executive) when appropriate, follows up on their attendance authorizations and justifications with their individual bachelor programs.
  • Keeps track of the students’ status (dispensas, gap years, dropouts, special accommodations, etc.) and manages the information accordingly.
  • Proactively manages the relationship with the different Bachelors’ degree programs: assistants, program coordinators and associate directors.
  • Prepares academic information: informative documents, actas, anexos and tracks resitters and retakers for IE Impact courses.
  • Coordinates with other university departments, such as planning, faculty, IT, Business Intelligence, Publishing, Marketing, Communications, etc.
  • Communications: Database compilation, Power Point presentations.

General administration duties such as

  • Performs administrative tasks when the Team Assistant needs support: such as coding invoices, uploading expenses, and processing special payments and reimbursements in Dynamics 365; booking trips through CYTRIC or managing advances.
  • Manages IE University platforms: Atenea, Redmine, BB Ultra, CampusGroups, Dynamics, Cytric, etc.
  • Organize and schedule meetings and appointments
  • Meet with students and delegates as required
  • Manage the general email inboxes of all IE Impact courses
  • Maintain contact lists
  • Produce and distribute correspondence memos, letters, and forms
  • Record processes and upload to SharePoint (shared cloud)
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system

Qualifications

Requirements

  • Legal work permit to work in Spain (we cannot sponsor work permits).
  • Bachelor’s Degree
  • Native level/Fluency in English and strong conversational Spanish skills.
  • Must have excellent written and verbal communication skills in
  • International profile with experience and comfort in working in multicultural environments
  • Proficient in MS Office & proficiency in power point presentations, Eventbrite and create of graphics and design of fliers
  • Strong project management skills
  • Attention to detail and problem-solving skills

  • Availability to host and/or attend occasional evening events.
  • Ability to travel to make frequent day trips to IEU’s Segovia campus.
